Payroll (ADP) & Benefits Coordinator, P/T

Permanent, 16 – 18 Hrs/Week (Flexible)

Tides Canada is comprised of two associated philanthropic organizations – Tides Canada Foundation and Tides Canada Initiatives Society. Tides Canada Foundation, established in 2000, is a national public foundation focused on environmental and social justice issues. The Foundation supports a range of sector participants, including large international and national institutions, NGOs, operating charities, private family foundations, corporate donors, individual philanthropists and social entrepreneurs. Tides Canada Initiatives Society is a growing operating charity that houses and supports over 40 social and environmental projects across the country.

We currently have a permanent, flexible, part-time opening at our Vancouver/Gastown office for a certified Payroll Professional to be the coordinator for all full-cycle payroll and benefits administration related activities. Tides has experienced significant growth across Canada over the past few months and we have created this new position to meet the increasing demands on our Human Resources and Finance Teams.

Primary Duties and Responsibilities

Reporting to the Sr. HR Advisor, this position will be responsible for the accurate and timely preparation and distribution of an hourly and salary payroll and the preparation of all monthly, quarterly and year-end related reporting. The duties of the position will include, but may not be limited to the following:

  • Process bi-weekly on-line payroll for 100+ employees using ADP Performance Pack (People@Work; Pay@Work)
  • Maintain all HRIS and payroll related data for new employees, adjustments for current employees and terminations
  • Prepare and remit WCB (BC, ONT & AB); submit monthly Service Canada and Statistics Canada reports
  • Ensure data integrity and reconciliation across systems (HRIS, payroll, benefit carriers, etc)
  • Create ADP payroll-costs report and enter data into accounting system
  • Update and maintain vacation and sick day accrual and usage
  • Liaise with benefits broker to complete, verify and process all forms and documentation for administration of group benefits plan (add new employees, terminate employees, update changes to salary/eligibility, personal info, etc)
  • Generate standard reports and analysis and suggest/create new reports using ADP Performance Pack to ensure and improve reliability of data
  • Respond to all inquiries related to employee pay stubs, and payroll in general
  • Documentation of policies and procedures when necessary
  • Identify and propose recommendations that could improve existing systems related to payroll and benefits administration

Job Requirements

  • CPC Certification (or close to completion of fourth requirement)
  • Two to four years experience of payroll and benefits administration using ADP on-line, preferably in a multi-site environment
  • Preference will be given to those with at least 1 -2 years experience using ADP People@Work
  • Current and strong knowledge of payroll and CRA requirements and regulations and a demonstrated understanding of Provincial payroll legislation, taxable benefits and Employment Standards
  • Knowledge of accounting processes, specifically related to journal entries and CRA/WCB remittances and reconciliations
  • Detail oriented with exceptional data entry skills
  • Ability to work independently and take initiative
  • Enjoy finding ways to improve processes and increase efficiency
  • Excellent time-management skills and the ability to meet regular daily, weekly, quarterly, monthly and annual deadlines
  • Strong computer literacy and spreadsheet skills
  • Client and service-oriented approach
  • Demonstrated ability to work in a fast-paced, always-changing environment
  • Basic understanding of non-profit sector an asset
  • Alignment with the goals and values of Tides Canada

Salary Range & Benefits: Dependent on qualifications and experience.

In addition to the part-time and flexible hours, the benefits for this position are 3 weeks vacation (pro-rated to the FTE), 10 personal days a year (pro-rated to the FTE), working in the recently renovated heritage and LEED Certified Tides Renewal Centre in Gastown and feeling the sense of accomplishment that comes from helping create a more just and sustainable world.

*Please note that as this position works less than 20 hours a week, our contract with our benefits provider does not allow us to offer Health and Dental benefits to the successful candidate.
